How equipment hire works with VIVID

What is and is not in a day rate

Our listed rate is per 24-hour period for the equipment itself. Delivery, setup and strike, consumables such as haze fluid and gaffer, and technician time are quoted as separate lines so you can see exactly where the money is. Weekend and multi-day hires are usually priced as one and a half to two days rather than per calendar day. Every quote names the specific models, because a "PA system" line tells you nothing about whether it will fill a 300-person marquee.

Insurance, damage and deposits

  • Our kit is insured while we are handling it and while it is with our crew. For dry hire, the equipment is your responsibility from handover to return; most business or event insurance policies can add hired-in equipment cover for a small premium, and we will give you replacement values for the schedule.
  • We check everything in and out against a signed list. Fair wear is expected; damage, loss and missing cases are charged at repair or replacement cost.
  • Deposits apply to first-time dry hire customers and to high-value items such as Pioneer DJ players and d&b systems. Returning clients on account do not pay them.

Booking and riders

Send the date, venue, guest count and what the event is for, and we will quote within a working day. If a DJ or band has sent a technical rider, forward it exactly as received; we match riders line by line and tell you where a substitution is sensible. For weddings and parties the packages cover the common combinations so you are not building a list from scratch.

The honest test for dry hire: if the person running the kit on the night has done it before and would be comfortable troubleshooting a silent PA in front of 150 guests, dry hire is fine. If not, add a technician. See dry hire versus full production for the longer version.

Frequently asked

Can I collect equipment myself?

Yes for dry hire, by arrangement, from our base near Farnborough on the Surrey and Hampshire border. Most London and Home Counties customers choose delivery because it includes a tested setup and a handover briefing.

How far ahead should I book hire equipment?

Two weeks is comfortable for standard kit; peak Saturdays in June, September and December go earlier. Large d&b systems, LED walls and specific Pioneer DJ models are the items that sell out first.

Do you hire to the public or only to businesses?

Both. Private customers hiring for parties and weddings are a large part of our work; the deposit and insurance rules above apply the same way.

What happens if something fails during my event?

On crewed hires we carry spares and swap on the spot. On dry and delivered hires we give you a phone number that is answered on event nights, and we can usually get a replacement to London or Surrey within a couple of hours.
